Direct Report: VP Sales & Marketing      

Position Summary

The Event Sales Manager is responsible for booking revenue producing events including but not limited to private, corporate, association, public and community related events. This position will provide professional client services support in the planning, organization, and management of events, monitoring the logistics of the events and coordinating tasks from booking through conclusion of the event. As needed, this position will be on site during the events.

  • Bachelor’s degree, preferably in business, tourism and hospitality or marketing
  • Minimum 8 years of hospitality or sales experience
  • Exceptional organization skills
  • Attention to detail with strong verbal, writing and editing skills
  • Ability to perform work accurately and thoroughly
  • Ability to effectively build relationships with clients and colleagues
  • Ability to effectively present information publicly
  • Ability to accept responsibility and account for his/her actions
  • Knowledge of event sales channels

  • Proficiency with Microsoft Office products and customer management software

  • Lead event services team in accomplishing sales goals by actively seeking new business, booking repeat business, working with Coastal Mississippi and other hospitality partners to complete hosted event bookings
  • Develop and maintain accurate and comprehensive knowledge of the event capabilities of the Aquarium and effectively use the knowledge as a sales tool
  • Deliver written and oral sales presentations to individuals and groups
  • Create proposals with rental and event service rates, prepare contracts for execution and secure all required insurance, licensing, etc.
  • Lead the events team to effectively define event details with clients and vendors; up-sell add-ons and recommend options that are mutually beneficial for the client and the Aquarium
  • Attend trade shows, sales calls, sales mission, networking meetings, local meetings and community events to solicit event sales and to promote the Aquarium as a premier event venue; collaborate with marketing to prepare collaborative materials; responsible for all pre-planning for booth arrangements
  • Create and maintain client data base, opportunities and lead reports through the use of CRM software. Document, thoroughly information relating to contacts and needs of clients and prospective clients assuring the information is properly organized and up to date based of the departments filing procedures
  • Prospect new clients and business through internet research, telephone, direct mail and personal contacts; Develop and maintain professional relationships with clients
  • Follow up with all leads in a timely manner
  • Ensure customer satisfaction throughout the event planning process, during the event and in final settlement
  • Participate in weekly pre-con/post-con meetings to inform appropriate staff of details of upcoming events and review past events
  • Manage and maintain cost of sales with respect to expense budgets
  • Work collaboratively with and assist the food and beverage partner as needed; act as an extension of the catering and concessions team
